Responsibilities require mathematical skills of minimum equivalency to high school graduate. Perform duties of both repetitive and specialized nature in keeping utility information for current status, collecting monies for utilities, counting and balancing cash drawers and preparing and verifying bank deposits and prepare deposit for tax payments. The city clerk will have the responsibility of recording and maintaining utility deposits, service transfers and discontinues as well as preparing and maintaining an accurate cut off list. Must have the ability to perform duties, including but not necessarily limited to the job functions listed below, as directed by your supervisor in order to maintain an acceptable level of public service. Must perform duties as assigned by Mayor and City Secretary for daily operation of the city.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Must be literate in visual, verbal and written communication skills in order to meet and assist public in payment of bills, permits and all other payments and to offer general information.
Must be able to organize and prioritize daily duties in order to effectively and efficiently perform duties in a timely manner.
Must be physically mobile in order to move from one work area to another and physically able to lift up to forty pounds of weight, stoop, bend, squat, sit and walk for extended periods of time and drive a motor vehicle in order to effectively perform daily duties.
Must have a clear knowledge of departmental duties and policies and a clear understanding of accountability to your supervisor.
Must be able to maintain composure and be responsibly sensitive when assisting the public and hearing the complaints and comments offered and be able to interact effectively with other office personnel.
Must be able to effectively and efficiently operate all office equipment related to performance of duties i.e., telephone, typewriter, computer skills, calculator and postage machine, necessary for collection and posting of water bills, preparation of invoices, typing letters and/or other correspondence as necessary.
Must have the flexibility to prepare disconnection of service letters and bills for mailing and attach appropriate postage.
Performs routine clerical and administrative work in answering phones, receiving the public, providing customer assistance, cashiering, data processing, and some bookkeeping.
Answers incoming calls and routes callers or provides information as required.
Operates radio as needed and assists in radio communications; operates base radio as required.
Receives the public and answers questions; responds to inquiries from employees, citizens and others and refers, when necessary, to appropriate persons.
Assists in the procurement of department materials and supplies.
Operates listed office equipment as required.
Receives, stamps and distributes incoming/outgoing mail.
Composes, types, and edits a variety of correspondence, reports, memoranda, and other material requiring judgment as to content, accuracy, and completeness.
Inputs data to standard office and department forms; makes simple postings to accounts; compiles data for various reports.
Maintains and orders office supplies and materials.
Schedules appointments, and performs other administrative and clerical duties.
